Frequently Asked Questions

Straight answers, no fluff.

Everything we get asked most often — pricing, audits, drivers, integrations, and what happens when something breaks.

General

What it is, who it's for
What is Sentinel Fleet?

Sentinel Fleet is a UK-built fleet compliance and risk-management platform. It captures walkaround checks, defect reports, driver risk scores, and audit evidence — and presents it back to you in a way that DVSA examiners and insurance underwriters actually want to see.

Who is it for?

UK fleet operators running anywhere from 5 to 500+ vehicles. Vans, HGVs, mixed fleets, last-mile delivery, plant, and trade fleets. If your insurer or the DVSA cares whether you do walkaround checks properly, this is for you.

Who built it?

Sentinel Fleet was built by a working logistics manager who got tired of paper checklists and undated WhatsApp photos failing audits. It is owned and operated by Sentury Developments Ltd, registered in England and Wales.

Pricing & trial

What it costs, how billing works
Is there a free trial?

Yes — 14 days, full feature access, no credit card required. You can import your fleet, onboard drivers, and run real walkaround checks during the trial. Whatever you create stays in your account if you continue.

How is pricing structured?

Per active vehicle, billed monthly or annually. Annual plans get two months free. There are no per-driver fees, no setup fees, and no charges for adding admin users. See the pricing section for current rates.

Can I cancel any time?

Yes. Cancel from your account settings. Monthly plans stop at the end of the current billing period. Annual plans run to the end of the term you paid for. You can export all your data for 30 days after cancelling.

Do you offer discounts for larger fleets?

Yes. Volume pricing kicks in from 50 vehicles, with bigger discounts at 100+ and 250+. Drop us an email at hello@sentinelfleetuk.co.uk for a quote.

Compliance & audits

DVSA, insurers, and proving you're compliant
Will Sentinel Fleet help me pass a DVSA audit?

That's the whole point. Every walkaround check is timestamped, geotagged, and tied to a named driver and vehicle. Defects are tracked from raise to resolution. Audit evidence is exportable as a tidy PDF a DVSA examiner can read in minutes. For the long version, see our DVSA audit checklist.

Does it satisfy our O-licence undertakings?

Sentinel Fleet provides the daily-walkaround-check evidence and defect-rectification trail required under your O-licence undertakings. Final responsibility sits with your transport manager, but the system gives them everything they need to demonstrate competent control.

Will it help reduce my insurance premium?

Many of our customers have used the audit evidence and risk-scoring exports as part of their renewal pack and seen reduced or held premiums in a market where most fleets are taking 10–20% hikes. We don't promise a number — we give you the data your underwriter wants to see.

Drivers & vehicles

How the day-to-day works
How long does a walkaround check take?

Around 90 seconds for a standard van check on the driver's phone. Photos for any flagged defects, automatic timestamps, GPS location, and a digital signature — done.

Can drivers use it on their own phones?

Yes. The check runs in any modern mobile browser — no app store install required — and there's a Progressive Web App option for drivers who want it on their home screen.

What happens if a driver tries to skip a check?

Vehicle lockout (optional) prevents the driver from starting their shift in the system until the check is completed. Defects flagged as critical can require manager sign-off before the vehicle is released.

What about agency or temporary drivers?

You can add temporary drivers in seconds and remove them just as fast. Agency drivers carry their risk score with them across renewals if they sign in with the same email.

Tech & integrations

What it talks to
Does it integrate with telematics?

Yes. We support direct integrations with the major UK telematics providers and have an open API for anything else. Compliance data and telematics together give you a much richer driver-risk picture than either alone — see this article for more.

Can I import my existing fleet?

Yes. CSV import for vehicles and drivers, or we'll do it for you during onboarding. DVLA lookups auto-fill vehicle details from the registration plate.

Is there an API?

A read/write REST API is available on Pro and Enterprise plans, with webhooks for key events (defect raised, check completed, risk score changed).

Data & security

Where your data lives
Where is my data stored?

Within the UK and EEA. Encrypted at rest and in transit. See our Privacy Policy for the full picture.

Are you GDPR compliant?

Yes. We act as a controller for your account data and a processor for the operational fleet data you upload. See our GDPR Statement.

Can I export everything if I leave?

Yes. CSV and PDF exports for all your data, available throughout your subscription and for 30 days after cancellation.

Do you train AI models on my data?

No. Customer data is not used to train any third-party model. Any internal product analytics is aggregated and anonymised.
